Works independently under minimal supervision to provide all front desk duties and a full range of administrative support to the University Police Department.
Maintains a pleasant and professional manner, greets and directs visitors; answers, places and directs incoming phone calls, responds to questions and requests for information or refers to appropriate individuals.
Manages the daily operations of the department by maintaining the appearance, organization, office supply inventory, printing, handling requests for services, distributing mail, and completing on and off-campus departmental errands.
Monitors and maintains equipment, including printers, fax, copier, computers, phones, and contacts service personnel when needed.
Organizes and coordinates department events and meetings including room reservations, agendas, sending electronic invitations, catering, etc.
Manages communications including, but not limited to emails, social media accounts, and newsletters; prepares special correspondence on behalf of the Chief of Police.
Manages online reservation request system, serves on website management committee, and assists with maintaining the University Police website.
Designs and distributes marketing materials for department sponsored initiatives and events.
Collects, analyzes, and edits information for various projects, meetings, reports, and surveys.
Assists in coordinating the Chief of Police's schedule and travel arrangements.
Coordinates student work schedules and assist student employees in completing administrative tasks and special projects.
Assists with special projects and performs other duties as assigned to improve efficiency and increase productivity of department functions.
Required Education, Knowledge, Skills, Abilities:
High school graduate plus specialized training with three years related experience in an office environment, or an equivalent combination of experience and education.
Excellent interpersonal skills and customer focus, with the ability to project a collaborative and professional demeanor with a wide range of constituencies in a diverse University community.
Demonstrated ability to maintain strict confidentiality of privileged information and perform a wide range of duties that require tact, sensitivity, independent judgment, diplomacy, organizational skills, flexibility, and discretion.
Requires full working knowledge of general office practices and procedures.
High degree of professionalism, integrity, and dependability.
Knowledge and proficiency in Microsoft Office applications, and experience in effectively creating documents, reports, presentations, forms, and marketing materials. Proficiency in computer skills, troubleshooting computer errors and system problems, and relevant software applications including MS Office, the Internet and email.
Ability to address multiple tasks effectively and accurately and to prioritize workload and organize flow of tasks. Ability to work independently and with minimal supervision and to solve a prescribed range of problems.
Works with minimal supervision. Reports to Operations Manager.
Work requires contact with department and University staff, students, visitors, and vendors.
Gathers, analyzes, and edits information for various operational projects.
Solves problems associated with general office management.
Assigns work to student employees.
