The mission of the University Police Department is to improve and promote safety at the university through collaboration, proactive problem-solving, open communication and the delivery of professional and dependable police and security services. We are searching for an Administrative Assistant to support this busy department within the division of campus operations. This is an excellent opportunity if you thrive in an interesting and challenging work environment. You will contribute to the department by providing essential administrative and secretarial assistance in department workflow and budget processes, as well as process payroll and complex calendar management.
Core responsibilities will include:
Responsible for processing a complex union payroll on a weekly basis via WorkDay.
Ability to understand language in collective bargaining agreements and apply that knowledge to payroll.
Administrative support including:
Maintain accurate and detailed records and complex calendars (including the Chief of Police, court appearances, interviews, etc.).
Prepare correspondence; generate reports and documents for the Chief's signature and/or approval.
Assist with the workflow within the department.
Process invoices, purchase orders and expense reports, reconcile charges made on department's procurement card, schedule interviews, etc.
Recognize the opportunity for process improvement and participate in the implementation.
Provide general office management.
Sort mail, order office supplies, set up and maintain complex file systems, and support staff and department related processes and work.
Operate standard office equipment.
Perform related work and special projects as assigned (e.g., plan and coordinate events or meetings).

You will possess the following competencies:

Excellent typing, grammar, punctuation, and proofreading skills.
Excellent interpersonal, analytical, organizational, reasoning, and problem solving skills are key.
Associate's degree or higher preferred.
Minimum five years' experience in an administrative and office management role required; experience in higher education and/or a union environment preferred.
Proficiency in Microsoft Word, Excel and Outlook required.
Experience with time entry/payroll processing, as well as complex calendaring software highly desired.
