Provides advanced level secretarial or administrative assistance on behalf of an academic department or major service unit within the university.; Work hours: Mon-Fri; 8 AM-5PM or as work requirements indicate; Requires CJIS Level 1; Criminal Justice Information System Fingerprint Background Check
Responsibilities: 20% Handles most parking questions concerning lot locations, reason for citations being issued and student fees. Oversees Parking Calendar and coordinates for lot closures and reserving lots for special events parking. Talks with disgruntled parking patrons to help resolve parking problems. Collects fines. Orders permits for customers having trouble with online sales.
15% Appeals and Letters: Makes sure all appeals are entered into the system and all results are sent back to the students with the results of the decisions made by the committee. Prepares and coordinates Level II Appeals committee meetings as they are requested
10% Error Checking: Checks for data discrepancies such as duplicate customers, duplicate vehicles, unattached vehicle information.
10% Data Validation: Verifies that data is correct and connected to the right customer. Verifies that students are getting the right assigned hang tags.
10% Blocks: Places blocks on student records in the Banner system when they have late, unpaid parking citations. Removes blocks when students have paid.
10% Assists, when needed, with student worker and part-time officers pay on bi-weekly payroll. Balances collections and makes daily deposit for Parking Department. Periodically, and as needed oversees front desk student workers.
10% Answers phones. Transfers 80% of all incoming calls to Parking and Police Department. Sorts and distributes daily mail received. Monitors incoming paperwork on the fax machine and makes sure it is distributed to the appropriate area.
5% Prepares files, documents and manuals for officers as requested, binding them when necessary. Completes weekly filing and shredding for Sergeants and Program Coordinator.
5% Performs other duties as assigned. This is a CJIS Level 1 security-sensitive position- The individual in this position may be required to access the Criminal Justice Information System (this level is designed for people who do not have physical and logical access to CJI but may encounter it in their duties); As a condition of employment the individual will be required to pass a Criminal Justice Information System Fingerprint Background Check and within a reasonable time frame after the individual's employment successfully complete periodic training to retain and maintain assigned responsibilities.
5% Helps monitor two-way radio. Logs in and out Lost and Found items and is responsible for posting on the web. Monthly, supplies Transportation a copy of officers gas receipt logs.
Required Education and Experience: High school diploma or equivalent combination of education and experience; Four years of general clerical or office experience.
Required Knowledge, Skills and Abilities: Knowledge of word processing, spreadsheet, and database applications. Effective verbal and written communication skills. Strong interpersonal and organizational skills. Ability to multitask and work cooperatively with others. Ability to work with sensitive information and maintain confidentiality.
Other Requirements: This is security-sensitive position- The individual in this position will be required to access the Criminal Justice Information System; As a condition of employment the individual will be required to pass a Criminal Justice Information System Fingerprint Background Check.
